Everything a delegate carries for a day
Merchandise for events and conferences is the kit that goes out at the door and gets used before the day is over. Lanyards, notebooks, pens, bags, chargers - the things a delegate ends up holding between sessions.
It gets ordered by conference organisers, trade show exhibitors, companies running their own summits, and associations putting on an annual meeting. Some of it carries the organiser's name and some carries a sponsor's, and all of it has to survive being carried around for eight hours.
Useful during the day beats memorable afterwards
Events turn the usual rule upside down. Most merchandise is judged on how long it lasts at home. At a conference it gets judged inside the first hour, on whether it solves something.
A pen that works when someone needs to write down a name. A charger when a phone dies at two in the afternoon. A bag that holds the day's paper without the handles giving up. Those get used and remembered. The clever item that does nothing gets left on the chair.
The stand and the delegate pack do different jobs
An exhibition stand needs something that starts a conversation and travels light. It has to give people a reason to stop walking, and it has to be small enough that taking one feels easy.
A delegate pack works the other way round. It goes to everyone regardless, so it does better with fewer items of higher quality. Nobody counts what was in the bag. They remember the one thing they still use in March.
The stand team counts as part of the order too. A shirt or a polo tells a visitor who works there, which saves everyone the awkward opening question.
Categories that fit a conference day
Event orders come down to what a person can carry and use in a single day. That makes for a short list, and it repeats at every conference in every sector.
Lanyards

The defining item of the format. Everyone wears one all day, it is readable across a hall, and it does a real job before it carries anyone's name. It is also the one place a sponsor logo sits at eye level for eight hours.
Notebooks

For sessions, workshops, and the conversation in the corridor that turns out to matter. A notebook is the item most likely to leave in the bag and still be in use months later.
Electronics

A flat phone at two in the afternoon is the most common problem at any event. A charger or a power bank fixes it, and the person you fixed it for remembers who handed it over.
Drinkware

A branded bottle plus refill stations cuts a mountain of single-use cups and gives everyone something on the table all day. It also travels home, which most event items fail to do.
Ordering across these covers the day itself - the badge, the notes, the phone that needs rescuing, and something on the table through every session.
Order for the numbers, and order early
Start with attendance rather than optimism. Surplus event merchandise has no second life, because it is printed with a date and a place, and it sits in a cupboard until somebody throws it out.
Lead time is the other trap. Anything carrying names, badges above all, closes weeks before the doors open, and artwork approval usually takes longer than production does. Booking the print slot early costs nothing and removes the worst kind of last-minute decision.
Weight decides what goes home
We work with organisers in Sweden, Finland, and Germany, and the same thing happens at the end of every event. Delegates repack their bags before they leave, and anything heavy gets left in the hotel room.
So the rule stays simple. Light and useful travels home. Heavy and decorative stays behind. If an item has to fit in hand luggage, that decision has already been made for you.
A practical starting point
Four items cover most event orders. Between them they handle the badge, the people running the stand, the flat phone, and the gift that leaves with a speaker.
- Pany Lanyard with Metal Hook 20 mm - the item everyone puts on within a minute of arriving. 20 mm leaves room for a name and a sponsor side by side, and the metal hook holds a badge for a full day without letting go halfway through.
- UA Playoff 3.0 Microstripe Polo - for the people running the stand. A polo reads more put together than a t-shirt and stays comfortable through a day on your feet, and delegates can see at a glance who to ask.
- Supremi Power Bank 20000 mAh - the answer to the flat phone at two in the afternoon. It is the heavy end of an event order, so it works best as a speaker gift, a prize, or something held back for key accounts.
- Paper Medium Gift Paper Bag - for speaker gifts, VIP handouts, and anything that needs to look considered on the way out. Paper folds flat before the event, which saves a surprising amount of space when everything is being shipped to a venue.
